Privacy Policy

Last Updated: September 22, 2026

Your privacy matters. We want you to understand how Meetiva handles your data. This Privacy Policy explains how Meetiva processes personal information when you use the app. Meetiva is local-first: your notebook stays on your device, and cloud features apply when you sign in.

1. Information We Collect

Account Information

When you create or sign in to a Meetiva account, we may process information such as:

Authentication may be provided through email, Sign in with Apple, or Google Sign-In.

When you sign in with Apple or Google, Meetiva may receive account information such as a name or display name, an email address, and a provider account identifier. Email sign-in does not require a name.

Meetiva generates an installation identifier used for operational purposes such as AI usage and quota enforcement. It may be associated with the signed-in Meetiva account on the backend. It is not used for advertising or cross-app tracking.

Meeting Content

When you use Meetiva, the app may process:

When you are signed in, Meetiva may upload original meeting recordings to private cloud storage for backup and future multi-device recovery. Cloud copies are subject to your plan’s storage limit and retention period (Free: 500 MB / 30 days; Pro: 5 GB / 90 days) and may be deleted automatically when retention expires. Local originals on your device are separate from cloud retention and are not deleted merely because a cloud copy expires or an upload fails. Uploads use encrypted transport (TLS). Cloud objects are stored with the provider’s standard at-rest encryption. Meetiva does not provide end-to-end encryption of audio content.

Structured meeting data, including meeting metadata, transcripts, summaries, and action items, may be synchronized to our cloud service when you are signed in.

Audio Recordings

When you record or import a meeting, Meetiva stores a local original audio file on this device. There is no automatic local time-to-live; the file remains until you remove it through the relevant app or device lifecycle, or until this account’s local data is wiped after account deletion.

When you are signed in, Meetiva may also store a cloud copy of a meeting recording for restore and processing. Free cloud copies are kept up to 30 days; Pro cloud copies are kept up to 90 days. Expired or pending-delete cloud audio is processed by cleanup jobs, which can be delayed if a job fails.

AI Processing

To provide transcription and summarization features, relevant meeting content may be securely sent to third-party AI service providers, including OpenAI, for processing.

Meetiva sends audio and/or meeting text to OpenAI to provide transcription and AI meeting features. Meetiva does not send your email or Meetiva account ID in the AI request content.

OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer opts in. For Responses API requests used by Meetiva, Meetiva requests store=false.

OpenAI may retain certain API content for abuse monitoring for a limited period under its applicable API data controls.

Ask Meeting

Ask Meeting sends your question and the relevant meeting transcript context to Meetiva’s AI backend and provider so it can answer.

Meetiva does not save Ask questions or answers as notebook data. Provider infrastructure may process that content temporarily to generate the answer.

2. How We Use Information

We use information only as necessary to:

Meetiva does not sell your personal information.

Meetiva does not use meeting content for advertising.

The Meetiva installation identifier is separate from the random analytics identifier used by TelemetryDeck.

3. Data Storage and Security

Account and synchronized meeting data are stored using Supabase infrastructure.

Access to synchronized data is associated with your authenticated account.

Meetiva applies access controls intended to prevent one user from accessing another user's meeting data.

Local original recordings remain on your device according to your local storage choices. Cloud backup copies, when present, follow plan-based retention and may expire automatically.

We use reasonable technical and organizational safeguards to protect information, but no electronic storage or transmission system can guarantee absolute security.

4. Third-Party Services

Meetiva currently relies on service providers including:

Supabase

Used for authentication, database services, and cloud synchronization.

OpenAI

Used to provide transcription, summaries, and Ask Meeting. Meetiva sends audio and/or meeting text, not your email or Meetiva account ID, in the AI request content. OpenAI states that API inputs and outputs are not used to train its models by default unless the API customer opts in. Meetiva requests store=false for Responses API calls. OpenAI may retain certain API content for abuse monitoring for a limited period under its applicable API data controls.

Apple

May provide Sign in with Apple and App Store services.

Google

May provide Google authentication when you choose Google Sign-In.

Sentry

Used for crash and error diagnostics. Meetiva does not attach a Sentry User, disables default PII, sanitizes allowlisted diagnostics, and does not enable session replay, screenshots, view hierarchy, or performance tracing. Sentry may still observe ordinary connection metadata such as a network IP as part of operating its service.

TelemetryDeck

Used for privacy-oriented product analytics. Meetiva sends product event names, low-cardinality properties such as plan, language, and buckets, a random analytics identifier that is rotated across the account lifecycle, and SDK device/app metadata. Meetiva does not send meeting titles, transcripts, summaries, Ask questions or answers, email, Meetiva account UUIDs, or exact meeting duration or count. TelemetryDeck’s documentation states that IP addresses are not stored. Account deletion does not delete previously uploaded aggregate analytics.

These providers process information according to their respective terms and privacy practices.

5. Recording Responsibility

Meetiva allows users to record or import meeting audio.

You are responsible for ensuring that you have the necessary permission or consent from meeting participants before recording, uploading, transcribing, or processing a conversation.

Recording laws differ between countries and jurisdictions.

Do not use Meetiva to record conversations where doing so would violate applicable law or the rights of another person.

6. Data Retention and Deletion

Local original audio is stored on this device until it is removed through the relevant app or device lifecycle. There is no automatic local time-to-live.

Cloud-synchronized data may remain associated with your account until it is deleted according to Meetiva's deletion functionality and retention procedures.

Certain limited information may be retained where required for security, fraud prevention, legal compliance, backup recovery, or other legitimate operational requirements.

Cloud backup audio is retained up to 30 days on Free and up to 90 days on Pro, measured from upload. Pending-delete and expired cloud audio is processed by cleanup jobs. Cleanup timing is operational and may be delayed if a job fails.

Ask questions and answers are not stored as Meetiva notebook data. Transcript and summary cloud rows are currently soft-deleted when a meeting is deleted.

Supabase platform logs and backups, and Sentry retention, can vary by service configuration and plan. Meetiva does not promise a single exact retention period for those processors.

7. Your Rights and Choices

Depending on your location, you may have rights relating to your personal information.

You may:

Sign Out ends the active account session and hides owner-scoped local notebook data. It does not delete the Meetiva account or cloud data.

Delete Account removes the Meetiva account and associated account-owned cloud data through the deletion flow, and removes that account’s local data on this device after server deletion succeeds. Deleting your Meetiva account does not cancel an App Store subscription.

Uninstalling the app removes local app sandbox data on that device but does not by itself delete the cloud account.

8. Children

Meetiva is not intended for children under the minimum age required to consent to digital services in their jurisdiction.

We do not knowingly collect personal information from children in violation of applicable law.

9. Changes to This Privacy Policy

We may update this Privacy Policy as Meetiva evolves.

When material changes are made, we will update the "Last Updated" date and provide additional notice when appropriate.
